Terms of Service
Last updated: 7 October 2026
In short: Clicovery is record-keeping software for physiotherapy clinics. Your clinic owns its data and is responsible for the care it gives and for what it records. We keep the service running, keep each clinic’s data separate and secure, and help you take your data with you if you leave.
1. Agreement
These terms are an agreement between AASHVIRA TECH SOLUTIONS LLP (“Clicovery”, “we”, “us”) and the clinic that uses Clicovery (“the clinic”, “you”). By creating a clinic, accepting a staff invitation or using Clicovery, you agree to these terms and to our Privacy Policy. If you accept on behalf of a clinic, you confirm that you are allowed to bind it.
Where the clinic has a signed order or written agreement with us, that agreement takes priority over these terms if they conflict.
2. What Clicovery is, and is not
Clicovery keeps a clinic’s session packages, appointments, visit notes, payments and home exercises, and gives patients a private link to see their sessions and exercises.
- Clicovery is not a full electronic medical record, does not handle prescriptions or insurance, and does not give medical advice. All clinical decisions are made by the clinic and its therapists.
- Staff can send links and reminders from their own WhatsApp. A clinic can also choose to have Clicovery send appointment reminders, session updates, receipts and patient links on its behalf through Clicovery’s WhatsApp Business account. These messages never contain visit notes or other clinical details.
- Receipts and reports from Clicovery are based on what the clinic records. The clinic is responsible for checking them before relying on them for tax or legal purposes.
3. Accounts and eligibility
- You must be 18 or older to hold a Clicovery account.
- Each person signs in with their own account. Do not share sign-in details, and keep your password secret.
- The clinic owner decides who can use Clicovery at the clinic, in which branches, and with which permissions, and is responsible for removing access when someone leaves.
- Tell us straight away at security@clicovery.com if you think an account has been misused.
4. The clinic’s responsibilities
For the patient data it records in Clicovery, the clinic is the data fiduciary under the DPDP Act. The clinic agrees to:
- tell its patients that it keeps their records in Clicovery, and obtain any consent the law requires, including a parent or guardian’s consent for children;
- record only information it needs for the patient’s care and the clinic’s administration;
- keep its records accurate, and respond to patients who ask to see, correct or delete their information;
- send each patient’s private link only to that patient;
- where it turns on WhatsApp messages from Clicovery: use them only for patients who have an established relationship with the clinic and have agreed to receive them; use only Clicovery’s pre-approved message templates, not free-form bulk messaging; honour a patient’s opt-out immediately; and comply with Meta’s WhatsApp Business and Commerce Policies; and
- comply with the laws and professional rules that apply to its practice, and not use WhatsApp messages from Clicovery to send anything that violates Indian law or Meta’s policies.
5. Clinic data
- The clinic owns the data it puts into Clicovery. We process it only to provide, secure and support the service, as described in our Privacy Policy.
- We do not sell clinic data or use it for advertising.
- Data export is not yet available in the app. When a clinic leaves, we agree exit arrangements with it, including providing a copy of its data, before deleting it.
6. Acceptable use
You must not:
- try to access another clinic’s data, another person’s account, or any part of Clicovery you have not been given access to;
- probe, scan or test the security of Clicovery, except by responsible disclosure to security@clicovery.com;
- overload, disrupt or reverse-engineer the service, or use automated tools to extract data from it;
- upload malicious code, or content that is unlawful or that you have no right to store; or
- resell Clicovery or use it to build a competing product.
7. Fees and payment
- Fees, billing period and payment terms are those in the quote or order we agree with the clinic.
- Fees are exclusive of GST and other applicable taxes, which are charged in addition.
- Unless agreed otherwise in writing, fees already paid for a billing period are not refunded if the clinic stops using Clicovery during that period.
- If fees remain unpaid after reminders, we may suspend access after giving notice. Suspension does not delete the clinic’s data.
- We will give at least 30 days’ notice of any change to a clinic’s fees.
8. Availability and changes
We aim to keep Clicovery available at all times, but it may be unavailable for maintenance, faults or events outside our control. Clicovery needs an internet connection to save changes.
We improve Clicovery regularly. If we remove a feature clinics rely on, we will give reasonable notice where we can.
9. Intellectual property
Clicovery, its software, design and name belong to AASHVIRA TECH SOLUTIONS LLP. These terms give the clinic and its staff a right to use Clicovery while the clinic’s account is active; they do not transfer ownership of anything. Any feedback you give us may be used to improve Clicovery without any obligation to you.
10. Disclaimer
We provide Clicovery with reasonable skill and care. Beyond that, and to the extent the law allows, Clicovery is provided “as is”, without other warranties, including that it will be uninterrupted or error-free.
11. Limitation of liability
To the extent the law allows:
- we are not liable for indirect or consequential losses, such as lost profits, lost revenue or loss of goodwill;
- we are not responsible for clinical decisions, or for the accuracy of information the clinic records;
- where a clinic has WhatsApp messages turned on, Meta may suspend or restrict Clicovery’s WhatsApp Business account, or block or withhold individual messages, without notice to us; we are not liable for messages delayed, blocked or withheld as a result, or for any suspension of that channel; and
- our total liability to a clinic for all claims in any 12-month period is limited to the fees the clinic paid us in that period.
Nothing in these terms limits liability that cannot be limited by law, including for fraud.
12. Suspension and termination
By the clinic
The clinic can stop using Clicovery at any time by telling us at support@clicovery.com.
By us
We may suspend or close an account that breaches these terms, puts other clinics or patients at risk, or where the law requires it. Except in urgent cases, we will give notice and a chance to fix the problem first.
After termination
Access ends, and the clinic’s data is handled under the exit arrangements in section 5 and the retention periods in our Privacy Policy.
13. Governing law
These terms are governed by the laws of India. The courts in Bengaluru, Karnataka have exclusive jurisdiction over any dispute arising from them. We encourage you to contact us first so we can try to resolve any issue informally.
14. Changes to these terms
We may update these terms. We will change the date at the top and, for significant changes, tell clinic owners by email or in the app at least 30 days before the change takes effect. Continuing to use Clicovery after that means the clinic accepts the updated terms.
15. Contact and grievances
Questions about these terms: support@clicovery.com. Complaints go to our Grievance Officer:
